Reflections 2008-2009

Theme:  Wow!

 

September 2008

Begin promoting program.  Some suggestions are:

bulletSend letter to parents/students explaining program and requesting rules package (see attached example)
bulletAt the school:  Post signs, posters, announcements (back to school assembly and over the PA system), newsletter, etc.
bulletEnlist help:  Have teachers (classroom, music, art, theatre, literature etc.) encourage students to participate

Begin distributing rules packages and official entry forms to students that request them.  Remember that the Official Entry form must be on lavender paper and completely filled out.  Give some extras to teachers and make some available at the front office or library.

October 2008

Hold a workshop at the school.  This could be during lunch or after school (if after school make sure to have all necessary paperwork including facility use, permission slips, transportation, etc.)

Visit the classrooms (with office and teacher approval) to discuss and encourage participation in the program.  Display samples of past entries in the school office or library.

October 24, 2008, Friday – Entry deadline to School Reflections Coordinator

All entries should be submitted to the individual school sites.  Check entries to make sure they adhere to the rules including a completely filled out entry form on lavender paper with both a student and parent signature. All visual arts and photography entries should be mounted on something firm (tag, mat, card board, etc.) and covered with shrink-wrap or acetate.

bulletFill out Form A Unit level.
bulletLabel entries with Dot ID stickers.
bulletCreate Information cards (see example)
bulletSend out invitations to the Reflections exhibit.  Include principal and other school staff.

October 29, 2008, Wednesday – Entry Deadline to Council

bulletA list of all participating students including school name, first name, last name, age, grade level, category, and name of entry.  This information will be used to make the program for the night of the exhibit.
bulletForm A Unit level.
bulletAll literature, musical composition, dance choreography and film/video production entries are due to Rose Hoberg.  Please call to set-up an appointment (805) 552-9934.  You hold onto the Visual Arts and Photography entries until Show Set up on Nov. 5.


November 5, 2008, Wednesday – Show Set up and Judging

What to bring:

bulletVisual arts and photography entries labeled with ID dots (CC V-1, WC V-22, MHS P-5 etc)
bulletInformation cards.  The outside of the card should state the category, title and artist’s statement; the inside should state artist’s name, grade and school. (see example)
bulletDuct or masking tape

 

All Reflections coordinators should be at Mesa Verde at 3:30 to help set up the show.  All visual arts pieces will be mounted on the walls using duct or masking tape.  Photography entries will be mounted on the art grids using clips.  All other entries will be placed on tables.  All entries must be mounted by 5:30 so bring help and start early.  Judging will take place immediately after.

November 6, 2008, Thursday – Reflections Exhibit

Doors open to the public at 6:30 pm and close at 8:30 pm. Please come and enjoy watching the reactions to all your hard work!  Take picture to include in your school’s yearbook, newsletter, or website.  Be available at 8:30 to help with take down.

December 1-6, 2008

Moorpark Council PTA will deliver up to 96 entries (6 categories, 4 age divisions, 4 entries per division) to the 12th District (Ventura County) Reflections chair.  (This is my job – so you don’t have to do anything.)

January 20, 2009 – Reflections Gala

Entries from 12th District will be on exhibit at the Ventura County Office of Education, 5100 Adolfo Road, Camarillo.  6:00 – 6:30 pm Art Gallery Viewing; 6:30 pm – 9:00 pm Awards Presentations.  All selected participants will be invited by 12th district to attend.  You are welcome to come too.

January 23, 2009 – California State PTA district Reflections deadline in Sacramento (12th district handles this)

February 2009

All entries that do not go on to the state will be returned to the school coordinators.

March – June 2009

Consider featuring your own school site entries in an exhibit at a parent teacher night, PTA/PTSA meeting, reading night, arts night, or even hold a Reflections Night.  School sites should give some type of recognition/award to all participants.  This could be a medal, pin, ribbon, certificate, gift certificate, etc.
